An empty chair still costs rent. For a barber, one no-show is a haircut that could have been another client's, and a few a week add up.
This article explains the barbershop no-show workflow from our short video. n8n texts every client the day before, with one tap to confirm and one tap to reschedule. If there is no reply, the slot goes to your wait list automatically.
Why do barbershops suffer from no-shows?
Barbers often run on walk-ins and bookings with little commitment. Clients forget, plans change, and the shop has no easy way to know until the time passes. Asking people to call and cancel rarely works, because it is easier to simply not show up.
A deposit can help but not every shop wants to charge one. A friendly reminder with a one-tap reply is a gentler way to cut the problem down.
Barbers also work with their hands, not their phones. Chasing confirmations between cuts is unrealistic, which is exactly why this job suits automation.
How the day-before confirmation works
| Step | What happens | Typical tool |
|---|---|---|
| 1. Read tomorrow's bookings | Each evening the workflow reads tomorrow's appointments from your booking tool. | Booksy, Square, Calendly or a calendar |
| 2. Text each client | A short message with the time and two buttons or replies: confirm or reschedule. | SMS or WhatsApp |
| 3. Confirm | A confirmation reply marks the booking as confirmed in your calendar. | Calendar API |
| 4. Reschedule | A reschedule reply sends a link to pick another time and frees the original slot. | Booking link |
| 5. No reply | If a client has not replied by your cutoff, the slot is offered to the wait list. | SMS to wait list |
| 6. Morning summary | You see who is confirmed, who moved and which chairs were refilled. | Message to you |
Because the workflow runs the day before, there is still time to refill a slot. A reminder an hour before is often too late for that.
We suggest telling clients about the policy when they book, for example confirm by reply or the slot may be offered to someone else. It is fair, and it sets expectations.
What you need to get started
- A booking tool or calendar that the workflow can read and update.
- Client phone numbers with their permission to text.
- A simple wait list, even a shared contact list.
- A decision on your cutoff time for unconfirmed slots.
Honest limits
- Releasing unconfirmed slots can upset a client who simply did not see the text. Make the policy clear.
- Texts cost money per message, and consent rules vary by country.
- Walk-in only shops have less to gain.
- It reduces no-shows but cannot stop every one.
What does it cost to set up?
Simple setups with one booking tool and SMS are on the lighter end of our builds. Pricing depends on your tools, your volume and how many branches the workflow needs, so we scope it on a short call rather than quoting a number here. Frequently asked questions
When does the client get the text?
The day before the appointment, as described in the video. The timing can be changed to suit your shop.
What if a client does not reply?
Your cutoff rule decides. By default the slot is offered to your wait list. You can also choose to keep it and simply flag it to you.
Does it work with my booking app?
Many common ones with an API or calendar feed. We check yours on a short call.
Do I need to charge deposits?
No. Reminders alone help many shops. Deposits are a separate decision.
