Your best clients forget to re-book, then they go somewhere else. Not because they were unhappy, but because life got busy and nobody reminded them that their next facial was due.
Our short video shows an n8n workflow that knows when each treatment is due. Six weeks after a facial, the text goes out: time for your glow-up? Your book fills itself with regulars.
Watch the 30-second walkthrough on our YouTube channel @Skynetlabs2k25.
Why do good clients drift away?
Repeat clients are the most profitable part of a med spa. They cost nothing to acquire, they trust you, and they tend to spend more over time. Yet many spas rely on front-desk staff remembering to mention the next appointment at checkout, which often does not happen on a busy day.
Clients who do not rebook in the window often just forget. A well-timed reminder, written warmly, is a service rather than a sales push. It works best when it is tied to the actual treatment cycle rather than a generic monthly newsletter.
How does the rebooking workflow work?
The workflow stores what each client had and when, then uses a rule for each treatment to decide when to nudge.
| Step | What happens | Tool |
|---|---|---|
| 1. Record the treatment | After each appointment, the booking system or a form sends the client, treatment and date to n8n. | Webhook / booking API |
| 2. Look up the interval | A small table gives the recommended interval for each treatment, such as six weeks for a facial in the example. | Sheets / database node |
| 3. Wait until it is due | n8n schedules a reminder for the due date, and cancels it if the client has already booked. | Wait + IF node |
| 4. Send the text | A short, warm message with a direct booking link, using the client's first name. | SMS or email node |
| 5. Handle replies | Replies are passed to your front desk, so a person confirms the booking and answers any questions. | Notification node |
The reminder should feel like a note from your spa, not a coupon blast. Keep it short and let the booking link do the work.
What you need to run it
- An n8n instance
- A booking system that can send events or export appointments
- Treatment intervals set by your practitioners
- Client consent to receive reminders
- An SMS provider or email account
Think about the tone before the timing. A reminder that reads like a friendly note from the person who looked after them will outperform a generic promotion. Use the client's first name, mention the treatment in general terms only, and make the booking link the single call to action. Review results quarterly: how many reminders went out, how many clients rebooked, and how many asked to stop, then adjust the intervals accordingly.
Honest limits
- Treatment records can count as health information in some places. Keep messages generic, with no medical detail in the text itself, and check the privacy rules that apply to you.
- The workflow suggests timing, but a practitioner decides what is right for a particular client.
- Clients who opted out must be excluded every time.
- If your booking system has no API, the data may need a manual export.
Frequently asked questions
Can n8n connect to my booking software?
If your booking tool has an API, webhooks or a spreadsheet export, usually yes. Tell us which one you use and we can check the options.
Is it okay to text clients about their treatments?
With consent, and keeping the message general, usually yes. Avoid including clinical details, and follow the privacy rules in your region.
How do I choose the reminder interval?
Ask your practitioners. The six-week figure in the video is an example for a facial, and other treatments will differ.
Will it double-book clients who already rebooked?
The workflow checks for an existing future booking before sending, so clients who have rebooked are skipped.
Next step
List your five most common treatments and how often a regular client should come back. That table is the heart of the workflow. Ask for the rebooking workflow and we will connect it to your booking system.
